Free Invoice Generator

Enter the supplier, customer and item details to build an invoice preview. Use Download PDF to open your browser’s print route, then choose an available PDF destination and check the saved file. No Talentra account is required.

The optional Remember setting saves profile and numbering data in this browser. Check the suggested number against your own register; it does not synchronize across devices or confirm that an invoice was issued.

What has to be on an invoice

Before you send an invoice, check the seller, buyer, amount, dates and payment instructions. The exact required fields depend on your country, business structure and tax status.

  • A clear Invoice heading and a unique invoice identifier.
  • Your business name, address and contact details, plus registration details where required.
  • The correct customer entity and billing details.
  • Issue date, supply date where applicable, and an agreed due date.
  • Item descriptions, quantities, rates, currency, discounts and the total due.
  • Applicable tax details and clear payment instructions.

GOV.UK lists the general UK fields; VAT invoices need additional information. See our invoice field guide and UK freelancer guide.

Getting paid on time

Agree payment terms before issuing the bill. State the actual due date and the event it is calculated from, such as the issue date or an agreed acceptance date. A label like Net 30 is easier to process when the date is written out.

Record the buyer’s accounts contact and any purchase-order or portal requirements. A document can be arithmetically correct while still missing the information needed for approval.

Late-payment rights depend on the transaction and applicable law. See the payment-terms guide for date examples and a link to the UK business-payment rules.

Invoice numbers

UK invoices need a unique identifier. Full VAT invoices require a unique sequential identifier from one or more series. A customer prefix or a year prefix is not automatically a problem: HMRC expressly allows multiple series and explained gaps.

The generator suggests a next number using information in this browser. It is not a shared invoice register and cannot prevent two devices or tabs using the same number. Check your own records, edit the field when necessary and save a register entry for every issued invoice.

Turning off Remember my details removes saved profile and numbering data from this browser. During the open session the tool can still suggest the next number after you use the PDF/print action. Cancelling a print dialog does not mean a document was issued: verify your register before using the next suggestion.

See invoice numbering rules and a worked register for practical examples.

VAT, sales tax and working abroad

This generator applies one tax rate to the subtotal after discount. A percentage discount is capped at 100%, and a fixed discount cannot exceed the subtotal. It is designed for straightforward single-rate invoices, not mixed-rate tax calculations or credit notes.

Worked arithmetic: two items at £50 give a £100 subtotal. A 10% discount reduces the taxable amount to £90. An illustrative 20% tax adds £18, making £108 due. These rates demonstrate the calculation; they are not a decision about what tax you must charge.

Use the Company or tax number field and the optional supply date where relevant. If you need multiple tax rates, a foreign-currency VAT breakdown or a mandated structured e-invoice, use a suitable accounting process and check the applicable rules. Our VAT invoice guide gives background; this tool is not a tax-compliance service.

For a US client requesting tax information, review the W-9 guide. A non-US individual may need W-8BEN, while different entities or circumstances can require another form. Do not put a Social Security number on a routine invoice.

Updated 19 October 2026: added a supply-date field and item labels, capped discounts, corrected numbering guidance and aligned local storage with the Remember setting. Published by Talentra Solutions · Report a tool problem.

Common questions

Is there a fee or account requirement?

The generator is currently free to use without a Talentra account. It prepares a document; it does not collect a payment from your client.

What does Remember save?

When enabled, it saves profile and numbering information in this browser. Turning it off removes the saved profile and numbering data. Keep issued invoices and a register separately; local browser data is not a backup or shared ledger.

How do I save a PDF?

Press Download PDF and use the PDF destination available in your browser or operating-system print dialog. If the dialog is unavailable in an embedded browser, try a supported regular browser. Open the saved file to inspect every page, the text, references and totals before sending.

Can I add a logo?

Use Choose image and inspect the preview. The selected logo is processed locally. A very tall or detailed logo may not fit the invoice header well.

Does it track partial payments or send reminders?

No. Keep your own payment log, or choose software that provides the records and controls you need. Our software selection worksheet explains what to test.

Can I use it for a quote or proforma?

The standard document is headed Invoice. A quote or proforma needs its own clear status and wording; do not use the invoice heading for a different document. See the quote examples and proforma template.
